Deal Process - NEW 2025

1. Agent Submits Deal

  • Rego Team → via email to office

  • Yorkville Branch → via  Form

  • Hamilton Branch → via Form

  • Port Severn Branch → via Form

  • Kitchener Branch → via Form 


2. Form Submission → Office Dashboard

  • Submission is automatically routed to the applicable office.

  • Record is created in the HubSpot dashboard.


3. Ticket Assignment to Operations

  • The ticket is assigned to the Ops staff in that office.


4. Ticket Setup by Ops

  • Ops updates ticket type and classification (based on submission).

  • This automatically populates the correct checklist for that deal.


5. Ops Executes Checklist

  • Ops checks off completed items.

  • Outstanding items remain visible as required tasks.


6. Paperwork Handling

  • If paperwork is outstanding but all other tasks are complete:

    • Ensure those tasks are assigned to the agent managing the deal.


7. Assign to Finance

  • Once Ops tasks are addressed, the ticket is assigned to Finance.


8. Finance Processing

  • Finance completes required tasks.

  • If outstanding items remain, ticket stays open and Finance follows up with agent.

  • If all Finance tasks are complete (except paperwork), Finance can close the ticket.


9. Closing Date Workflow

  • On closing date, a new Finance ticket is automatically generated with required tasks.

  • Ticket remains open until all tasks are complete.

  • If waiting on information, ticket stays open until resolved.
