CMA Journey via HubSpot if there is an office lead via phone/email to clientcare@regoteam.com, info@regoteam.com

  1. Seller contacts Brokerage via phone or email 
  2. Form - ISA/Admin fill out Green Sheet Form 
    1.  Internal Email - Summary is sent to Management
  3. Automation - Seller is enrolled into CMA Journey workflow
  4. Automation - Seller is marked as "Do Not Contact" to ensure they are not enrolled into our Main Mailing List 
  5. Task - Sales Manager receives a task to choose Listing Agent 
  6. ISA updates contact owner to agent
  7. Internal Email - the Realtor will receive an appointment notice which includes a summary of the "Green Sheet"
  8. External Email - 1 Day before the appointment - the client will receive CMA Scheduled Email
  9. Agent Conducts CMA
  10. External Email - 1 Day after the appointment - the client will receive CMA Complete Email
  11. Automation - Deal Stage will automatically update to CMA Complete in HubSpot
  12. Task - Client Care will receive a task to contact the Realtor for feedback about their appointment: 
    1. Ask the following and update properties in HubSpot: 

      - What List Price did you suggest? (update Amount)

      - Are they likely to list with us? (Update likeliness to list) 

      - When are they thinking about listing? (update Seller/Buyer Timeline)

      - When is your next appointment (if applicable)? (create follow-up task)

  13. Internal Email - 1 Day after the appointment - the Realtor will receive Congratulations Email (with next steps)
  14. Automation - Deal Stage will automatically update to Needs Update in HubSpot
  15. Automation - Seller is enrolled into Needs Update workflow
    1. External Email - If client is in the Needs Update stage for 5 days - the client will receive  Marketing Email
    2. External Email - If client is still in the Needs Update stage after 20 days - the client will receive Staging Email
  16. Form - If the Consultation/Staging request form is submitted by agent (found on portal, app and email)
    1. Task - the Home Stager will receive a task to fill out Calendly link 
    2. External Email - This will automatically confirm with the client via email and text 
    3. Automation - the Deal Stage will automatically update to Working with Client in HubSpot
    4. External Email - The client will receive Next Steps email
  17. Form - If the Photo/Sign request form is submitted by agent (found on portal, app and email)
    1. Automation - the Deal Stage will automatically update to Listing Signed in HubSpot
    2. Task - Assign Buyer Team task goes to ISA
    3. Task - Buyer Team and Listing Agent are notified of assignment
    4. Automation - Do Not Contact property is removed
  18. Automation - Deal will enter Step 1: Order Received Workflow
    1. Ticket - Automated ticket assigns to Listing Coordinator
      1. Order signage, photos, look book and program Lock Box
      2. Ticket - the Admin will receive a task to fill out Calendly link inviting client, photographer, and agent
      3. External Email - This will automatically confirm with the client, photographer, and agent via email and text 

    2. Ticket - Automated tasks to Admin to prepare feature sheets
    3. Ticket - Automated task to Marketing to create a Coming soon Post
  19. Automation - 2 days before list - Deal will enter Step 2: Two Days to List Workflow
    1. Tasks - Automated reminders sent to Realtor
      1. If they have not already - Submit Paperwork, Submit Lock Box code, Submit Showing Instructions, Order Photos
  20. Automation - 1 day before list - Deal will enter Step 3: 1 Day to List Workflow
    1. Ticket - Automated to Listing Coordinator
      1. Forward iGuide to Agent
      2. Draft Listing
      3. Upload Paperwork on Drive

  2. If an Open House is submitted via Open House Form
    1. Automation - Open House appears on Rego Realty App
    2. Task - Marketing is notified to advertise on Social Media 
    3. Task - Marketing is notified to prepare advertising material 
    4. Task - Listing Coordinator receives task to update boards
    1. Task - Admin is notified to print advertising material
  1. Once the property sells, Admin updates Deal Stage to Firm Deal
    1. External Email - Client will receive Congratulations! Email
  2. Automation - Deal is enrolled into Firm Seller Workflow
    1. Task - Home Stager will be notified to de-stage
    2. Task - Accounting will be notified of firm deal
    3. Ticket - Admin is notified to remove listing from Active Listing and add to Sold tab
    4. Ticket - Admin is notified to order SOLD Rider and Removal
    1. Ticket - Marketing is notified to create SOLD post on Social Media
  1. Automation - Seller Timeline is removed
  2. Automation - Buyer Team is removed
  3. Automation - Client enrolls into Closing Gift Process (see article here)
  4. External Email - Client will receive Closing Gift Delivered Email
  5. External Email - On Closing client will receive Closing Checklist Email 
  6. Task - Agent is notified about the closing 
  7. Task - Agent is notified to remove lockbox
  8. Task - in 6 months and 1 year - Agent is notified about Home Anniversary
