Gaslight Tower 1 Leases


  1. Automation - Tenant Lead is assigned to Selling Agent (Co-owner) in HubSpot via Workflow
  2. Selling Agent (Co-owner) contacts Tenant(s) to proceed with phone screening
  3. If the Tenant(s) are a good fit:
    1. Proceed with online application via web forms
      1. Selling Agent (Co-owner) creates a new transaction in WebForms to send them the rental application with the template for rental application
      2. Signers: Tenant(s) to fill in details, CC Only to Sales Representative
    2. OR If application is completed in person, Selling Agent (Co-owner) replicates the rental application into Web Forms and sends to Sales Representative as Reviewer Only
  4. Sales Representative receives Application and ID as a copy from Web Forms 
    1. Contacts Landlord
    2. Employment Verification
    3. Completes Credit Check
    4. References
    5. Guarantor (if applicable)
  5. Sales Representative fills out Tenant Approved Gaslight Form
    1. This form is used to notify Leasing Admin to prepare lease and proceed with the automation
  6. Automation - Tenant enters Tenant Approved Workflow (Part 1) 
    1. Automation -  An Active Renter transaction is created in HubSpot
    2. Task - Leasing Admin will receive form submission
    3. Task - Leasing Admin creates Google Drive Folder Here: https://drive.google.com/drive/folders/1vK3YEMOaJ-Q5mG1jqBqYDTy9V8sPQKov
    4. Task - Leasing Admin logs into Web Forms and edits the Co-owner's transaction to prepare lease:
      1. Log into itsorealesate.com 
      2. Select Tools > Webforms 2019
      3. From the dashboard, under Agents, find Bianca Scaletta (first profile)
      4. Select Impersonate
      5. On the left menu, select Transactions
      6. Choose the transaction for the lease application received
      7. Select Forms
      8. Ensure all details are filled for each form
      9. Leasing Admin sends for signing via Authentisign (Web Forms)
        1. First to Sales Representative as Remote Signer
        2. Tenants to Remote Signer
        3. Landlord as Remote Signer
        4. CC Only Leasing Admin
    5. Task - 2 hours after Form Submission, a task will be sent to Leasing Admin to verify if the documents are signed
  7. Once Task for Verify if Documents are Signed is completed Tenant enrolls into Documents Signed Workflow (Part 2):
    1. Task - Leasing Admin creates transaction in WOLFconnect
    2. Task - Leasing Admin attaches applicable documents to loadingDOCS 
    3. Task - Leasing Admin attaches applicable documents to Google Drive
    4. External Email - Tenant(s) receives congratulations email from "Sales Representative" (Only for HIP PROGRAM LEADS)
    5. Task - YProperty receives task to create deal in Property Vista (Only for HIP PROGRAM LEADS)
    6. Task - Accounting receives task to verify if deposit has been submitted
  8. Automation - Once Accounting has completed task that the deposit has been received Tenant enrolls into Firm Lease Workflow
    1. External Email - Tenant(s) receive a "Thank you for your deposit & Next Steps" Email (Only for HIP PROGRAM LEADS)
    2. Automation - Transaction will update to Firm Renter in HubSpot
IF THE DEPOSIT TASK HAS NOT BEEN COMPLETED WITHIN 48 HRS:
  1. Task - Sales Representative contacts Accounting to ensure deposit has not been received
  2. Task - Sales Representative receives task to follow-up with Tenant(s)

Closing:

  1. 5 Days before Close tenant will enroll into Closed (Part 4):
    1. Task - Sales Representative receives task to coordinate: 
      1. Key pick-up/drop off
      2. Locker information 
      3. Parking information 
  2. On closing, Accounting verifies if all file requirements are good to close
  3. Automation - Transaction will move to deal stage - Closed (renter) Workflow
