New Homes Transaction Coordinator

As a New Homes Transaction Coordinator, you will process and manage all transactions through their critical stages. Your focus will be on our clients’ information and ensuring that all details are correct before moving it forward to your internal team members. You will use your organizational and detail orientation skills to handle multiple transactions, accurately, and efficiently for our clients.

What You Do:


  • Success in this role is all about the completeness and accuracy of the information for our clients within our database
  • Value add will come from auditing and verifying database information, ensuring team members have provided accurate data within the correct field
  • Move the transaction through the sales process - from conditional to firm and helping stakeholders throughout their journey
  • Take part in exciting Sales Events, where you will help prepare documentation, set up and cater the event, coordinate the entertainment, and process deals (may require evening/weekend work for key launches)
  • Coordinate with the realtors on the representation agreements and ensure they have all necessary information
  • Scan documentation and organizing the files in our shared drive to maintain utmost data security
  • Send agreements to purchasers for signing via DocuSign and send ‘nudges’ as necessary to ensure they understand the process
  • Provide daily and weekly reports to builders, partners, and team members
  • Manage, prepare, and send all mutual releases, amendments and waivers
  • Manage the collection of outstanding deposit cheques and mortgage commitments
  • Update firm transactions into Hubspot as required
  • Collaborate with the accounting team on updated transactions and documentation
  • Assign Hubspot leads as they come in for the corresponding project and work with internal partner handoffs
