- Disarm/Arm Office Alarm System (Use your unique designated 4-digit code)
When leaving: Tap on Alarm screen panel and tap on the green Disarm icon, once done you will have 60 seconds to lock door and leave premises
When Entering: Alarm will beep, thus enter your 4 digit unique code and alarm will disarm
- Cancel Forward phones at 9 a.m/Forward phones at closing of each shift to ext.813
- Check voicemail messages and designate accordingly
- Turn on desktop computer logon to P/T or F/T logins and check Yorkville gmail/Hubspot and Brokerbay for any pending showing or outstanding requests from agents
Phone Greeting: Good morning/afternoon/evening Corcoran Horizon Realty, (your name) speaking, how may I assist you?
Guest/Clients: Greet clients with a warm welcome and smile and ask to take their coats and offer them hot or cold beverage and seat them in one of the board rooms and announce them to the agent/staff
Duty/Walk-ins: Take guests name, number/email and email it to the office Manager. If caller is calling pertaining to an agents listing/business take their information and text them immediately with the details
- Turn on/off lights at front desk, closing rooms, lounge area (Leave only backsplash kitchen lights on at end of shift and front desk pot lights)
- Turn on/off TV in Kitchen TV
Remote for Kitchen TV: LG Remote found in right top drawer of the lounge cabinet (go to home; Youtube; and click on Corcoran Horizon Playlist video running
- Leave Lounge Area TV on with Corcoran Promo video running
Remote for Kitchen TV: Samsung Remote found in right top drawer of the lounge cabinet (go to home; Brightsign and Corcoran Horizon Playlist video will run automatically
Office Meeting/Presentations: Samsung Remote go to home and select PC option or Chrome cast depending situation (note chrome cast has its own remote which is the white remote
- Turn on/off at every shift if full and empty dishwasher
- Tidy closing rooms, open area, kitchen, washroom, and back room
- Ensure the Copier is fully stocked with letter/legal size paper (do not put the hard stock 11x17 paper for feature sheets as this is only for feature sheet requests-stored in supply closet and agents are charged accordingly)
Supplies: Located in bottom black locker cabinet in backroom to access cabinet the key is located in lockbox - in drawer behind reception desk ensure that the storage room/lockers are always locked
Copier: To print/scan&email you must have a unique 6 digit copier code (please see front desk/admin for your user code if you have misplaced it)
Press print icon or email/scan on copier screen and enter your 6 digit code when prompted by machine and select # copies or enter email password. For laptop/desktop you will be prompted with user department code, thus enter your unique 6 digit code.
- Clean every part of espresso machine and ensure water is filled with fresh water at every shift
- Stock up espresso machine with beans as needed
- Clean milk system for the coffee maker each night, fill the water reservoir and rinse out milk.
- Turn on/off music on desktop spotify account
- Ensure no one is in the office before end of each shift - If any agent is still in the office remind them to turn off lights and lock the door behind them if they wish to stay
- Ensure front door is locked
*Reminder to notify F/T Admin of any items that we are running low on or and scheduling issues.
*Please note manuals to all machines/equipment are kept in a folder behind the front desk should you need to reference any mechanical issues.
