Purpose:
The primary focus and responsibility for this role is the communication and management of multiple concurrent projects at different stages. This position will work with the Operations Lead and the Sales Lead to develop comprehensive action plans for project coordination throughout the life cycle of a project. The New Homes Project Coordinator will be responsible for ensuring all deliverables and timelines are met to ensure a successful project.
Duties and Responsibilities:

Function as the primary point of communication for the delivery of communication both internally and externally

Ensure a high level of customer service at all the stages of the project; development and planning, sales, after-sales, selection, etc.

Liaison between the various parties involved in a New Home Project, including but not limited to;
-
Builders
-
Lawyers
-
Architects
-
External marketing firms
-
Property management companies
-

Attend all builder meetings as required
-
Schedule required a meeting between various parties as required
-
Prepare meeting agendas
-
Prepare meeting minutes
-
Update work back schedule as needed base on meeting discussions

Participate in the review of all key deliverables including but not limited to;
-
Marketing deliverables
-
Floor plans
-
APS and Condo Docs

Assist in developing a detail work back schedule that identifies all critical key activities needed to successfully complete the project

Ensure project deliverables are on time - monitor the progress of the project make adjustments as necessary

Establish a communication schedule to update the Management Team on the process of the project

Develop and maintain project documentation including a ticket tracking system, timeliness and project status documentation

Contribute to sales and marketing strategies, campaigns and events with New Home Sales Team and Marketing

Assist in coordinating the selection process

Ensure daily reporting is sent to all key project stakeholders on the number of sales

Coordinate all Sales Event, including but not limited to;

Attend all Sales Events

Event flow
-
Set up the sales office (filing system, printers, computers, etc.)

Resource planning and task assignment

Sale staff

Admin support

Crowd management

Greeters

Print all necessary documents

Vendor management (catering, entertainment, etc.)
